What does it cost you to manually transfer data between compliance platforms?

No single platform charges for sharing data, but manually transferring the same business information costs time and increases the risk of errors. This article explains where those costs come from and what determines them.

What does it cost you to manually transfer data between compliance platforms?

These costs do not appear in an invoice you receive somewhere. No platform charges you separately for retyping your Chamber of Commerce registration number or re-uploading a product list. The costs lie in the time someone in your business spends on it, and in the consequences when that retyping goes wrong: an address that is updated in one system but not in another, a product name that is spelled slightly differently, a contact person who has left but still appears as a point of contact in three of the four portals.

What it ultimately costs depends on three things: how many platforms you use, how often your data changes, and how many people in your organisation need access. A business with one product line and one responsible person experiences little difficulty here. A business that sells in multiple EU countries, carries own-brand products and works with a few colleagues, quickly enters the same data in four places and maintains it in four places.

Where the amount comes from

There are two types of costs, and it is good to keep them apart. The first is direct time: someone who spends half an hour on a form they filled in somewhere else last month. That is measurable, even if no one will track it separately. The second cost is less visible but often larger: the time it takes to discover and correct a discrepancy between two systems, and the risk that outdated information goes unnoticed for a time. The latter is not connected to a fine or sanction — reglia makes no statement about that, and it is for the supervisory authority or for you to assess — but it is time and attention that does not go elsewhere.

What this amount is not, is a fixed rate. It differs per business and per situation, and no one can give you a number in advance without knowing your administration. What is certain: the more places where the same data sits separately, the greater the chance that at some point they no longer say the same thing.

What determines the amount

Three factors play the largest role. First, the number of platforms you are connected to: each platform you must update separately counts. Second, the mutation rate of your data — a business that regularly adds new products or changes suppliers has more to update than a business with a stable range. Third, the number of people who have access: the more colleagues enter or modify data, the greater the chance that not everyone uses the same version.

A business and product dossier that stands in one place and is read by multiple platforms changes nothing about what is substantively asked of you — those obligations still come from the legislation itself, not from reglia. What it does change is where the retyping stops: you enter something once, and it appears everywhere it needs to appear. what reglia does and does not do with your data explains how that works, and what happens if you no longer use reglia: each platform then continues to work independently, exactly as before.

What reglia does not cost

The use of a dossier in one place is on the free side at reglia: creating a business account costs nothing, and an overview of which platforms exist and what they do is accessible to everyone, even without an account. What you do pay for is the subscription to each platform you actually use — the platform itself determines that price, and it is listed at the prices per platform. Reglia does not charge for sharing data between those platforms, and does not charge for viewing or modifying your dossier.

If you are uncertain whether a particular obligation applies to your business, or how much weight a missed update carries in your situation, that is a question for a lawyer or for the regulator in charge — reglia does not make any determination on that itself. What reglia does do is ensure that manual data entry itself is not the reason why something goes wrong somewhere.
